The Situation

M&A Insurance Solutions advises on 100+ Mergers & Acquisitions transactions per year, specializing in Representations & Warranties Insurance (RWI). Every deal was a data management nightmare. A single RWI transaction — typically a 10-day process — averaged 250+ emails across 20+ steps, moving between clients, brokers, lawyers, and insurers. At any given time, one broker could be managing 10–15 active deals and tracking more than 3,500 emails. Clients and insurers rarely spoke directly, with brokers directing all communications. There was no shared view of where a deal stood, no way to flag delays proactively, and no single source of record for any of it.

What Was Missing

Transparency and structure. Every stakeholder in the RWI workstream was working from their own slice of the picture — email threads, fragmented documents, informal check-ins. There was no way for clients, lawyers, insurers, and brokers to see the full process in real time, understand what came next, or know who was responsible for moving it forward. The complexity was manageable by email — until it wasn't.

What XenoDATA Built

XenoDATA conducted a deep-dive analysis into the existing market processes and data architecture to map every step of the RWI workflow and design a better one. The engagement produced both a revised data strategy and a product: The RW Exchange (RWX) — a real-time delivery platform that brings all stakeholders of the RWI workstream into one place. RWX breaks down the seemingly complex underwriting process into standard stages with full transparency at each step. Clients, lawyers, insurers, and brokers can all see where a deal stands, what's needed, and who owns the next action — eliminating the reliance on intermediaries to relay status updates through email chains.

What Happened

Average deal time dropped from 10 days to 4. All parties — brokers, insurers, clients, and lawyers — now have full visibility into a single platform with real-time status updates. And the product didn't stop there: M&A Insurance Solutions launched The RW Exchange as a licensable platform for others in the insurance industry dealing with the same complex data and workflow problems.

What AI Changes About This Problem

The M&A Insurance Solutions story is common in highly specialized industries: the problem is real, the cost is quantifiable, but no off-the-shelf software solves it. Enterprise platforms are built for broad markets. Niche workflows — particularly in legal, insurance, financial services, and regulated industries — get left behind. The traditional path to custom software was expensive, slow, and risky. A bespoke platform that previously required a six-figure development budget and 12–18 months to build now takes a fraction of both.

AI-assisted development has changed the economics of enterprise software. Firms that operate in specialized niches — where no vendor has built exactly the right tool — can now build it themselves at a cost that makes sense. The barrier is no longer budget or engineering capacity. It's understanding the problem clearly enough to design the right solution. That's where strategy still matters. XenoDATA brings the process analysis, data architecture, and systems thinking — AI accelerates the build. The result is purpose-built software that reflects how a business actually works, not how a generic vendor assumes it does.

For industries like M&A insurance brokerage, where the workflow is highly specific and the data flows are complex, this is significant. Organizations that once had to accept the limitations of generic tools — or pay enterprise prices for partial solutions — now have a realistic path to owning the right infrastructure. And when the solution is this well-fitted to the problem, it doesn't just improve operations. It becomes a product in its own right.

"XenoDATA's ability to understand business concepts, and the strategic leverage behind them, quickly helped us translate a complex, manual problem to a useable, workable technology delivery platform. They understand what it is you're talking about, what it is you're trying to solve, and asked all of the right questions to drive measurable business results for us and our clients."
